Adding, status and categories

Registration status

In order to manage participants, there is a registration status.
This status has 3 states:

  • Registered
  • Refused
  • Not registered

This status is updated with participants registration, and their actions on the website.

  • Registered
    • A participant registers online, or an invitee responds that he will attend the event
  • Refused
    • A participant unregisters online, an invitee responds that he will not attend the event, or a partner team member (with an access badge) is removed from the team
  • Not registered
    • A buyer bought a ticket for another person, or an invitee didn't respond to the form yet

Participants are then separated into three sub menus, depending on their registration status:

All registered participants All participants registered to the event
Not registered participants All participants not registered to the event (invitee, buyer, etc.)
All participants All participants, regardless their type

Participants addition to back office

Automatically, throught registration forms

Your participants register throught an online form, and arrive automatically in inwink back office, in the menu Registered / Registered participants, with the status Register.

If you authorize unsubscription from the event, the status passes to Refused, and you can find theses participants in the menu Registered / All participants.

In All participants submenu, you can filter on Is registered field to see how many persons unregister from the event.

  • Specific case n°1: registration on ticketing

It is necessary that order is validated, automatically with payment, or manually on back office, to have participants in Registered menu.

  • Specific case n°2: registration on invitation

Your guests are imported on inwink back office, with Not registered status.
With the online form, they can:

  • Register to the event ⇒ Their status passes to Registered
  • Indicate that they are not attending the event ⇒Their status passes to Refused

As long as a guest does not respond on the online form, the status stays at Not registered.

Manually, on inwink back office

From one of the three participants submenus, you can add a new participant.

Participant will have the registration status of the menu he is added from.

Click on the "ADD" button to open a participant sheet.
You can change registration status from here if you want.

Fill in participant's information, and click on SAVE to finalize creation.

Participant category

inwink participant category is to manage and structure your participants database, and to assign different badges templates depending on participant profile.

When inwink event is created, 4 categories are automatically created:

  • Registered
  • Speaker
  • Exhibitor
  • Organisation
  • Buyer

Theses categories can be assigned automatically, manually, and can be combined.

Automatic assignment

Registered category is automatically assigned to any participant who registered online on your website.

Speaker category is automatically assigned to a person added in the Program / Speakers menu, or to any person assigned to a session throught a partner workspace.

Exhibitor category is automatically assigned to any person added to a partner account, either online on the partner workspace, or on inwink back office, in the menu Partners / All partners.

Manual assignment

You can manually assign on or more categories to a participant.

To do so, from on of registered submenus, search for your participant, and click on the button ✏️ to edit his sheet.

Click on the Update button and select one or more categories to assign to the participant.

Click then on SAVE to finalize the category assignment.
