Step-by-Step: Importing Your Entities into the Back Office

In this article, you’ll find detailed instructions on how to import entities into the Event and Community back offices.

📁 Prerequisites

Before you start, make sure that:

  • You have on your computer a folder containing all the logos, images, and documents to be imported.

  • The file name of each image matches exactly what you’ll enter in your Excel file.

💡 You can import documents or images (for participants, speakers, companies, etc.).
In this example, we’ll import a partner logo

Step 1 – Export Existing Data

  1. Go to the inwink back office, in the partners grid.

  2. Export the following three columns:

    • Partner ID

    • Partner Name

    • Logo

Step 2 – Prepare the Excel File

  1. Open the exported Excel file.

  2. In the Logo column, enter the exact name of the image file as it is stored on your computer, including the file extension (e.g., mylogo.png, companyX.jpg, etc.).

  3. Save the updated Excel file.

Step 3 – Import the File into inwink

  1. Go back to the inwink back office, in the appropriate grid (e.g., Event > All partners).

  2. Click the Import arrow and select the Excel file you just created.

  3. Make sure that the imported columns match the existing columns in inwink.

    ➡️If an error appears, manually link the imported column to the correct one.

Step 4 – Link the Images

  1. Click the image settings key icon 🛠️.

  2. Click Browse your files

  3. Select from your computer the logo that corresponds to the partner.

  4. Save: the logo will then appear automatically in the inwink grid.



Step 5 – Finalize the Import

  1. Click the "Save" button.

  2. Check that:

    • The logo is correctly displayed in the All partners view.

    • It also appears properly on the website.
